Privacy Policy

The ogma-events.com website and the Ogma Events service are operated by Dator.lu SARL-S, 12 rue François Faber, L-7573 Mersch (Luxembourg), registered with the Luxembourg Trade and Companies Register (R.C.S.) under number B288030. Dator.lu is the controller of the personal data described here. This policy explains what data we collect, why, who we share it with, how long we keep it and how to exercise your rights.

1. The data we collect

  • Your contact requests: name, email address, phone number, company and message entered in our forms, as well as the speaker or topic page you write to us from. We also keep a record of the consent you give by ticking the box on the form.
  • Our exchanges: the emails you send us and the information needed to organise your event, such as its date, venue, format or budget.
  • Website traffic: pages viewed, time spent, referring page, originating campaign, device type, browser, language and country. Our in-house statistics set no cookie and do not store your IP address: only the country is derived from it. If you write to us through a form, the pages you viewed may be linked to your request.

2. Why we use it

  • To answer your request and suggest speakers, based on your consent, given by ticking the box on the form, and on pre-contractual steps taken at your request.
  • To manage the business relationship (proposals, contracts, invoicing), to perform the contract and meet our legal obligations, accounting ones in particular.
  • To measure and improve website traffic: based on our legitimate interest for our cookieless in-house statistics, and on your consent for Google Analytics.
  • To measure how well our advertising campaigns perform (Google Ads, Microsoft Advertising): knowing which ads bring visits and contact requests, based on your consent.
  • To keep the website secure, based on our legitimate interest.

3. Analysis of requests by artificial intelligence

To answer you faster, every request received through the website form or by email is analysed by an artificial intelligence tool, together with the contact details that come with it. The tool identifies the type of message (client request, speaker proposal or unwanted message) and pre-fills our follow-up record: date, venue, budget, requested topics or speakers, for example.

This analysis is performed by Anthropic (Claude models), a company based in the United States, through its business offering. Under its terms, the data sent is not used to train its models. The tool makes no decision producing legal effects concerning you: your request is followed up by our team.

4. Who receives your data

Your data is intended for the Ogma Events team. We do not sell or rent it. It may be shared, only as far as needed:

  • with the speakers concerned by your request: information about your event (date, venue, format), to check their availability;
  • with our processors: our hosting provider and Anthropic, for the analysis of requests (section 3);
  • with our measurement and advertising partners, if you accept their cookies: Google (Google Analytics, Google Ads) and Microsoft (Microsoft Advertising). They learn which pages you view and that a contact form was sent, without its content;
  • with the authorities, when the law requires it.

5. Transfers outside the European Union

Anthropic, Google and Microsoft are US companies: your data may therefore be processed in the United States. These transfers are covered by the safeguards provided for by the GDPR: the EU–US Data Privacy Framework for certified companies, or the standard contractual clauses adopted by the European Commission.

6. How long we keep it

  • Contact requests not followed up: 3 years from our last exchange.
  • Client data: for the whole business relationship, then 3 years. Accounting records (accepted quotes, invoices) are kept 10 years, as required by law.
  • Traffic statistics: 2 years.
  • Cookies: see our cookie policy.

7. Your rights

At any time, you can:

  • access your data and get a copy of it;
  • have it corrected or completed;
  • ask for it to be erased;
  • ask for its processing to be restricted;
  • receive it in a reusable format (portability);
  • object to its processing, in particular for marketing purposes;
  • withdraw your consent, without affecting the processing already carried out.

To exercise these rights, write to us at info@ogma-events.com or at the postal address above. We answer within one month. If you believe your rights are not respected, you can lodge a complaint with a supervisory authority, for example the CNPD in Luxembourg (cnpd.public.lu) or the CNIL in France (cnil.fr).

8. Cookies

Cookies required for the website to work are always on. Audience measurement and advertising cookies (Google, Microsoft), as well as those of video services, are only set with your consent, given through the cookie banner. Their list and how to change your choice are in our cookie policy.

9. Security

We protect your data with appropriate technical and organisational measures:

  • hosting on a private server;
  • regular security audits, following OWASP recommendations;
  • continuous monitoring of access;
  • encrypted backups;
  • server access restricted to authorised staff, over secure connections (VPN or SSH), using only the data needed.

10. Changes

We may change this policy, in particular to reflect new services. The date of the last update is shown at the top of this page.
